Purpose

Capacity Focused Supports is deeply committed to the protection and preservation of privacy and dignity for all stakeholders, including participants, staff, volunteers, board members, and representatives of collaborating agencies. Our commitment specifically extends to upholding the privacy and dignity rights of our participants throughout the processes of information collection, storage, and utilization in addressing their needs and delivering our services.

Scope

CAPACITY FOCUSED SUPPORTS mandates a high standard of consistency and diligence among its staff, volunteers, and board members in the handling and transfer of all personal data. This policy is systematically implemented and applicable across all facets of our business operations and at every location where business activities are conducted. Whether in physical or electronic format, this policy encompasses all records containing personal information and encompasses interviews or discussions of a sensitive personal nature.

Principles

Aligned with the guidelines of the Privacy Act 1988, The Health Records and Information Privacy Act 2002, and the National Privacy Principles, CAPACITY FOCUSED SUPPORTS adheres to the following principles:

  • Fulfilling legal and ethical obligations in safeguarding the privacy of participants and organizational personnel.

  • Furnishing participants with comprehensive information regarding their privacy rights, including the types of information collected, the purpose of retention, access permissions, and procedures for information amendment.

  • Exclusively collecting information directly pertinent to service provision.

  • Ensuring participants and employees experience privacy and dignity during discussions of a personal or sensitive nature.

  • Providing a privacy and dignity framework within all CAPACITY FOCUSED SUPPORTS facilities, with a particular focus on personal care supports.

  • Conducting training for new employees, volunteers, and student placements on CAPACITY FOCUSED SUPPORTS’ Privacy and Confidentiality procedures during the orientation program.

  • Mandating all personnel, including employees, volunteers, and student placements, to sign a Privacy and Confidentiality Agreement upon commencement.

  • Restricting the transmission of personal information overseas.

  • Embracing a risk management approach to address potential data breaches, duly considered in the business continuity planning process.

Review

This Policy undergoes regular reviews as necessitated by organizational changes or, at a minimum, every three (3) years.

Roles and Responsibilities

The Capacity Focused Supports Team members are tasked with the effective implementation of this Policy and the delegation of associated responsibilities.
